Your Calendar Is Lying to You

Tatiana Resende2 min read

Most COOs can list their top priorities without pausing to think. Their calendar tells a different story, and that story rarely matches the words.

The Gap Between Intention and Time

A packed schedule feels productive, so it earns a quiet kind of trust it has not actually earned. Here is what usually fills that space instead of real priorities.

  • Status updates that could have been a written note
  • Meetings called out of habit rather than necessity
  • Requests from whoever asked first, not whoever mattered most

None of these are dramatic on their own. Together, they quietly replace strategy with reaction.

Why This Keeps Happening

Most COOs are not undisciplined. They simply lack a filter that decides, before a request lands, whether it deserves protected time.

Without that filter, urgency always wins, because urgency shows up loudly and priorities usually do not.

How to Fix It Without Working More

Protecting time works best as a rule, not a mood. Block the two or three highest leverage activities before anything else touches the calendar.

Give every new request a real decision: delegate it, schedule it later, or decline it outright. Review the calendar monthly against stated priorities, the same way a budget gets reviewed against a plan.

Bottom Line

A calendar reveals more truth than any strategy document, because it shows where attention actually went instead of where it was promised. If your hours and your priorities do not match, trust the hours. Start this week by auditing one meeting you no longer need to attend, and see what opens up.

If your calendar no longer reflects the priorities that actually grow your company, COO Alliance can help you build the systems that fix it.
